Your information, handled with care

Estimate requests

We collect the project type, budget, timeline, property address, optional photos and notes, and contact information you provide to review and respond to your request. A request is not a construction contract or a guaranteed project date.

Storage and access

Requests are stored in a hosted database. Uploaded photos are kept in private object storage and are accessible through the authorized owner dashboard. Please do not upload identity documents, financial records, or images of people.

Email and service providers

When email delivery is enabled, our email provider processes the contact information and project details needed to send a business notification and your confirmation. The submission result tells you whether confirmation email was accepted for sending.

Remodel planner and project portal

When you use the design studio, your room photo and selected design preferences are sent to OpenAI to create clearly labeled AI concepts. Your original photo, generated concepts, contact details, project brief, and project updates are stored privately. Signed-in homeowners can access their own projects; the authorized Seven Cities owner can manage customer projects. Your uploads are not published in the public gallery.

Project selections and decision responses are recorded with the signed-in account and date. We retain these records to manage your project. AI concepts are visual inspiration and may change room details or proportions; they are not measured plans, binding estimates, construction instructions, or approved contract changes. You can request an estimate without using AI.

Website AI receptionist

When enabled, our website receptionist is an AI assistant. Messages and microphone audio you choose to share are processed by OpenAI to provide the conversation. The website voice and chat feature does not save raw audio or full chat transcripts. Project details you submit are saved with your inquiry. AI providers may retain information according to their own service terms. You can use the estimate form instead. An appointment is confirmed only after the booking screen confirms it.

Telephone receptionist

When enabled, our AI telephone receptionist handles remodeling inquiries for Seven Cities Remodeling and maintenance requests for The Dallas Company Property Management. Twilio processes the phone connection, speech transcription and spoken responses. Call text and the details you provide are processed by OpenAI to collect information and prepare replies. Our application does not record call audio.

After you confirm your details, we save a report for owner review and attempt an email notification and, when enabled, a text alert. Confirmed reports remain in the owner dashboard. Temporary call text and response records older than 24 hours are removed during processing of subsequent calls. They may remain longer if no subsequent call is processed. Confirmed reports are not included in that temporary-record cleanup.

Google Calendar

With authorization from the owner, the receptionist checks busy-time periods on connected Google calendars to find available estimate times. After you confirm an appointment request, it creates a booking event containing the appointment time and relevant contact, property and project details. It can retrieve that booking event to verify the outcome, including after an interrupted request. Booking details are also used to send appointment invitations and email confirmations.

Optional analytics

Optional Google Analytics, Google Ads, and Meta measurement remain off until configured and you accept measurement. These scripts are limited to approved public pages; they do not load in the remodel planner, estimate form, receptionist page, customer portal, or owner dashboard. Pages containing unrecognized query strings, fragments, or a detailed private referrer skip measurement. Google ad click identifiers are allowed on public landing pages to attribute visits. Eligible public page visits and successfully saved estimate requests are measured. Submitted contact details, photos, and project notes are not included in those page-view events. After a new estimate request is confirmed saved, a separate confirmation page can send a quote conversion to Google Analytics for the linked Google Ads account. It sends the event name, not your name, contact details, address, notes, photos, or request reference. Failed submissions and duplicate retries do not send a new conversion. A short-lived receipt in session storage prevents refreshes from sending it again. Optional measurement can be blocked by browser settings or declined without affecting your request. Your measurement preference is stored on this device; you can change it from an eligible public page.

Optional measurement of saved requests

When this separate feature is enabled, a visitor arriving from a Google ad can choose to link that ad reference to an estimate-form or website receptionist inquiry. This choice is separate from public-page analytics and permission to contact you. We store the click reference and consent in our own website storage, using a secure first-party cookie and a preference on this device. No advertising scripts are added to the forms or private pages. The first consented click is used for up to 30 days. The owner may export the click reference, conversion action, original saved-request time, a separate order reference, and measurement consent for Google Ads. Names, contact details, addresses, notes, photos, and private project links are excluded from that export. This choice does not authorize personalized advertising.

Use the request-measurement controls on a public page, estimate form, or receptionist page to withdraw. Withdrawal stops new request associations in this browser and removes its click reference from future exports once the server confirms the change. It cannot recall a file already downloaded or information already sent to Google; contact us about those records. Expired references are excluded immediately and removed at the next capture or owner measurement check. Phone calls, bookings, and planner briefs are not counted by this feature.
